Operation Policies

HOURS OF OPERATION
Spectra Medical Distribution operates 8:00 am. – 5:00 pm. EST, Monday-Friday.  Closed weekends and major holidays.

 

ORDERING INFORMATION
Orders received before 2:00 pm. will be processed the same business day.  Orders received after 2:00 pm. will be processed the next business day.
Orders received after 2:00 pm. on Friday will be processed on the following business day (Monday).

There is no minimum order HOWEVER, unless net 30 payment terms are established, all orders under $300.00 must be pre-paid with a credit card.

Order confirmations are provided and should be reviewed for accuracy. Spectra Medical Distribution will not be held responsible for errors if no notification is made by the vendor prior to shipment.

 

PRODUCT AND SHIPPING
Consumer Bedding Delivery:
Spectra Medical Distribution ships all CONSUMER bedding from its manufacturers.  Normal lead times are 14-21 business days after receipt of the order.  In instances of inclement weather, or documented regional traffic delay, stated lead times may be exceeded and will not be cause for order cancellation or refund.

Two methods of shipment are offered: 

  • DROP SHIPMENT – Product is delivered to the client’s home in the carton and placed in the first covered area of the residence.  There is no product set up and no removal of the shipping materials.
  • FULL SERVICE DELIVERY – Product is delivered to the client’s home and assembled in the client’s room of choice.  All shipping materials are removed. 

 

Removal of old bedding is available for an additional charge with Full Service Deliveries.  Old bedding is considered: mattress(es), foundation(s) and frame(s).  Headboards, footboards, waterbed bladders and adjustable bases are not considered bedding.

Delivery agents are not required, or authorized, by Spectra Medical Distribution, to break down or move furniture to other rooms to accommodate beds.  Clients must have space prepared to install the bed.

Delivery agents will contact the client 24-48 hours prior to the scheduled delivery to confirm that a legal adult will be present to accept the shipment.  If the client confirms the delivery appointment and is not home at the scheduled time, the vendor will incur an additional charge to re-deliver. 

 

Medical Bedding Delivery:

Medical Bedding (hospital bed mattresses) is generally delivered from inventory and will arrive via UPS or FedEX to the client within 10-14 days after receipt of order. There is no option for set up in the home.

 

Bariatric Medical Bedding is available as a non-stock item and will generally be delivered from the manufacturer, via truck in a flat carton, 14-21 business days after receipt of order. There is no option for set up in the home.

 

DAMAGE/MISSING COMPONENTS
If any product damage is present upon arrival, or if any components are missing, the client MUST notate the incident on the driver’s manifest report and request a copy from the driver.  If possible, the client should contact the ordering entity or Spectra Medical Distribution before the driver leaves.  Failure to note damage may result in denial of any damage claim after the fact.

 

If the vendor elects to have product drop shipped to their warehouse for ultimate delivery to their client, the product must be inspected for evidence of any damage and it must be noted on the driver’s manifest report.   Report of damage upon the vendor’s delivery to the client will be considered untimely and may result in denial of the claim.

 

CANCELLATIONS
PLEASE NOTE THAT EFFECTIVE  8/6/2014, SPECTRA MEDICAL DISTRIBUTION WILL CHARGE AN ADMINISTRATIVE FEE OF $100.00, OR 15% OF THE COST OF THE PRODUCT  (WHICHEVER IS GREATER) FOR MATTRESS/BED CANCELLATIONS/RETURNS AFTER THE PRODUCT HAS LEFT THE MANUFACTURER.  THE ADMINISTRATION FEE WILL BE IN ADDITION TO ANY CANCELLATION OR RETURN CHARGES IMPOSED BY THE MANUFACTURER.

 

RETURNS/EXCHANGES
All bedding manufacturers have a NO RETURN policy, and each manufacturer has different EXCHANGE policies.

 

WARRANTY
Spectra Medical Distribution follows all warranties as written by the manufacturer.  Each client will receive a copy of the warranty upon delivery of the product.

 

SHIPPING
Spectra Medical Distribution inventories some soft goods. Product will generally ship out the same day if the product is in inventory, the order is processed and normal delivery time is 7-10 business days.

Spectra Medical Distribution may have product drop shipped directly from the manufacturer and in those instances, the delivery time will be the same however, the manufacturer’s name may be present on the shipping carton in lieu of Spectra Medical Distribution.

 

RETURNS/EXCHANGES
Spectra Medical Distribution has a strict no-return/no exchange policy for soft goods and medical products. 

 

TRACKING
Spectra Medical Distribution generally discourages requests for tracking information when the order is still within the stated lead time for delivery.   Exceptions may be made however, Spectra Medical Distribution may require 24 hours before requested information will be communicated to the vendor. Tracking information can be located on the invoice.

 

PRICING
Although Spectra Medical Distribution utilizes every effort to provide advanced notice of price changes, we reserve the right to change without notice based upon our manufacturer's increased cost to us.

 

INVOICING
Spectra Medical Distribution invoices upon product shipment.  If Net 30 day payment terms have been established, payment is due 30 days after the product leaves the warehouse. 

Items may be shipped from multiple warehouses, thus there may be multiple invoices for a single purchase order.

Spectra Medical Distribution may impose a finance charge of 3%  for payments made after the due date.  Credit card payments to settle past due accounts may be subject to a 5% finance charge.

Spectra Medical Distribution may also place the account on credit hold or revoke payment terms for accounts whose payments are habitually past due. 

 

MARKETING
Accounts may obtain sale sheets/spec sheets from our website at www.spectrameddist.com.  All advertising and marketing MUST be pre-approved by Spectra Medical Distribution for content and layout prior to placement.  Advertising MUST be submitted to Spectra Medical Distribution at least five business days before the scheduled run.

 

It is not permitted to use images, logos or text from manufacturer’s websites without prior consent from Spectra Medical Distribution.
